1. What is a Virtual Assistant?

A virtual assistant (typically abbreviated to VA) is a business professional that provides either administrative, sales & marketing, creative, or technical support to business owners, entrepreneurs, and other busy professionals. VIVA’s Virtual Assistants typically work from secure call centers and they work off of dedicated computer equipment and software.

Because virtual assistants are independent contractors rather than employees, our clients are not responsible for any employee-related taxes, insurance or benefits, except in the context that those indirect expenses are included in the VA’s fees. Clients also avoid the logistical problem of providing extra office space, computer equipment or supplies.

2. Where are you located?

We currently have 2 offices.  Our US Headquarters are in Houston, Texas.  We also have a call center located in San Salvador, El Salvador.  We are hoping to open our second call center in Mexico, by the summer of 2021.

Our US Home Office & VIVA Headquarters currently handles all our Sales, Marketing, and Client Support teams.

Our ES office handles Recruiting, Training, and IT support for our Virtual Assistant employees.

3. Why do you choose to hire VA’s in Central America, instead of Asian Countries such as the Philippines or India?

This is a tricky question to answer, but it comes up often when we are speaking with prospective clients.  The simple answer is that we have worked with VA’s in both India & The Philippines in the past, and while they were all great, we have found much more success with working with young professionals who are working in the same Time Zones as most of our North American clients.

We believe that not asking your VA to work in the middle of their evening, fosters a better work/life balance for our VA employees which also leads to less burn out for our employees, and far less VA turnover for our clients.

Anyone can work the overnight shift if you pay them well, but eventually, life catches up to and we want our clients to know that their VA staff member is always refreshed and ready to work productively for them!

4. What type of Virtual Assistant Services do you offer business owners?

Our services range from Administrative Support, Sales & Marketing Support, and Back Office Processing Support. The Virtual Assistants we hire are all bilingual and go through a rigorous on-boarding process that includes skills-testing, and English Reading, Writing & Grammar Proficiency.

We have VA’s with a wide variety of skills. VIVA can handle just about anything that can be done over the internet and phone. Some of the common task that we do on regular basis are data entry, making/ receiving phone calls, web research, invoicing help, payroll processing, recruiting help, email management, updating websites, MS Office help (Word, Excel and PowerPoint), real estate support (short sales, loss mitigation, uploading MLS info to various websites), social networking (Twitter, Facebook, LinkedIn) etc.

We started serving the Insurance Industry, but now also serve the Real Estate & Mortgage Industries.

5. Would I be assigned a dedicated Virtual Assistant?

Most of our clients, opt for the dedicated Virtual Assistant package.

In that case, Yes, you would be assigned a dedicated VA who will be your main point of contact on regular basis. Just treat your VA as your regular employee and train them on how you want things done.

Our VA’s are thoroughly trained on most of the regular job tasks that we receive from our clients, however since each client has their own needs and requirements, we recommend you to spend some time initially with your dedicated VA to explain what you need to get done and how you need them done.

VIVA also offers a package called VIVA On-Demand in which we can offer pre-paid VA support, within a 24 hr window from the time you file the support ticket.  Ask us about this exciting new package which is already proving to be a Game Changer within in the industries we serve!

6. How often will I be billed?

With VIVA you can choose the payment terms that best meet your business needs.

  • VIVA offers a One-Pay Option that can begin on either the 1st or 15th of the month.
  • VIVA also offers a Two-Pay Option where we bill you a half payment on both the 1st & 15th of the month.

As always there is a slight discount on our One-Pay Option, but the choice is always yours!
